Medan – The Directorate of Governance, Legal Affairs, and Archives, through the Universitas Sumatera Utara (USU) Archives, conducted an Archival Management Guidance Activity as part of the Planning for Records and Archives Management across all organizational units and work units within Universitas Sumatera Utara. The activity was held online via Zoom Meeting on Monday, September 7, 2026.
This guidance activity was part of the USU Archives’ efforts to improve the quality of records and archives management across the university, particularly through archival planning that is well-directed, systematic, and in accordance with applicable regulations. The activity was attended by representatives from organizational units and work units across USU.
The activity began with welcoming remarks delivered by the Secretary of the Directorate of Governance, Legal Affairs, and Archives, Dr. Ir. Erwin, S.T., M.T. In his remarks, he emphasized the importance of archival planning as one of the key aspects in supporting orderly administration as well as effective and sustainable records management at USU.
The session continued with a presentation entitled “Planning for Records and Archives Management at the Work Unit Level,” delivered by Raisa Dwi Safitri, S.S.I., a staff member of the Directorate of Governance, Legal Affairs, and Archives. The presentation provided participants with an understanding of the importance of developing archival plans that are aligned with the needs and conditions of each work unit.
In the following session, Raisa Dwi Safitri, S.S.I. also delivered a presentation on “Mapping and Planning for Records and Archives Management.” The discussion focused on mapping the current state of records and archives management within work units as a basis for determining future needs, priorities, and development measures.
In addition to materials on archival planning, participants also gained insights into the utilization of archival information networks through a presentation entitled “Getting to Know JIKN USU: Connecting USU Archives with the National Archival Heritage,” delivered by Fista Chairani Zein Hutagalung, A.Md., a staff member of the Directorate of Governance, Legal Affairs, and Archives.
The presentation introduced the National Archival Information Network (JIKN) as a means of connecting information and the archival holdings of USU with the national archival information network. Participants were also provided with an understanding of the importance of interconnected archival information in supporting access to and utilization of archives as a source of information for the academic community and the wider public.
Through this guidance activity, the USU Archives hopes that all organizational units and work units within Universitas Sumatera Utara will gain a stronger understanding of the importance of archival planning and be able to formulate records and archives management measures that are suited to the needs of their respective work units.
