Universitas Sumatera Utara Archives Office Participates in Archive Technical Competency Training: Electronic-Based Active Records Management in the SPBE Era

To enhance the competence of archivists and archive management personnel in facing the digital transformation era, the Indonesian Association of Archivists (AAI), in collaboration with the Archive Education and Training Foundation (YPPK), organized the Archive Technical Competency Training (PKTK) – Electronic-Based Active Records Management in the SPBE Era. This training was held as part of the implementation of the mandate outlined in Law Number 43 of 2009 concerning Archive, Law Number 8 of 1997 concerning Company Documents, and the Minister of Manpower Decree Number 39 of 2019 regarding the Indonesian National Work Competency Standards (SKKNI) in the archive sector

With the advancement of technology and the implementation of the Electronic-Based Government System (SPBE), electronic-based active records management has become a crucial need for various institutions, both in the government and private sectors. Therefore, this training provided theoretical understanding and hands-on practice in digital records management to ensure more effective, efficient, and standardized archive practices.

The Universitas Sumatera Utara delegation attending the event included the Head of the Universitas Sumatera Utara Archive Office, Aisyah, SE., M.Si., and Archive Office Staff, Raisa Dwi Safitri, S.S.I. The training was held from February 24 to 27, 2025, in Yogyakarta, covering a range of activities such as theory sessions, practical exercises, case studies, benchmarking, and visits to archive institutions that have implemented electronic records management. Participants came from various government agencies, regional archive institutions, universities, state-owned enterprises, and private companies, creating a platform for collaboration and knowledge-sharing among archive professionals.

The objectives of participating in this activity were to:

  • Enhance competencies and technical skills in electronic-based active records management by national archive policies.
  • Prepare archive human resources to be more adaptive to SPBE implementation in their respective institutions.
  • Provide practical understanding through theoretical sessions, hands-on practice, and electronic record filing and storage case studies.
  • Facilitate benchmarking with regional archive institutions to observe best practices in digital records management.
  • Expand professional networks among archivists and archive managers from various institutions to strengthen the national archive ecosystem.

The benefits of participating in this activity included:

  • Competency certification as proof of skill enhancement in electronic-based records management.
  • The application of more modern archive technology aligned with national standards to support better archive governance.
  • Up-to-date knowledge of national archive policies in facing digital archiving challenges.
  • Hands-on benchmarking experiences at the Regional Library, Archive Office, and the Vredeburg Fortress Museum to understand archive implementation in real-world contexts.
  • A broader professional network opens collaboration opportunities between institutions in electronic-based records management.

 

Through this training, it is hoped that each participant will be able to implement the training outcomes within their respective institutions, in this case, Universitas Sumatera Utara, and contribute to improving the quality of records management in Indonesia.
