Archival Mentorship at the Faculty of Social and Political Sciences Universitas Sumatera Utara

This activity was carried out to raise awareness among all elements of the academic community at Universitas Sumatera Utara about the importance of managing, preserving, and maintaining archives. Through this initiative, better archival governance can be achieved, ensuring the preservation of the university’s archival memory.

ARSIP USU: The Archival Mentorship at the Faculty of Social and Political Sciences (FISIP) USU took place over a one-day session as part of the National Movement for Archival Awareness and Compliance. The initiative aimed to support and guide staff and personnel involved in administration and archival management to improve archival governance and strengthen the university’s archival memory.

The Archival Mentorship at FISIP USU was held on Tuesday, January 21, 2025, at the Theater Room, Faculty of Social and Political Sciences, USU. The event commenced at 10:00 AM (WIB). It was officially opened by Dr. Hatta Ridho, S.Sos., MSP, Dean of the Faculty of Social and Political Sciences USU, accompanied by Vice Dean III, Dr. Harmona Daulay, S.Sos., M.Si. The mentorship was attended by 27 participants from various faculty units and 14 study programs within the faculty.

The 14 study programs at the Faculty of Social and Political Sciences at USU include the following:

  • Undergraduate Programs (S-1): Sociology, Political Science, Social Welfare Science, Social Anthropology, Business Administration, Public Administration, Communication Science
  • Master’s Programs (S-2): Sociology, Political Science, Communication Science, Public Administration, Development Studies
  • Doctoral Programs (S-3): Communication Science, Development Studies

Following the opening, Dr. Aisyah, SE., M.Si., Head of the USU Archives Office, provided an overview of the USU Archives Office, emphasizing the importance of proper archival management by existing regulations. She also briefly introduced the USU Archives Office's role in ensuring efficient archival governance. The session was highly interactive, with participants actively engaging in discussions and asking questions throughout the presentation.

Dr. Aisyah also invited archival managers from the Faculty of Social and Political Sciences at USU to visit the USU Archives Office for further archival consultations to enhance their understanding and skills in managing archives effectively.

 

Next, Raisa Dwi Safitri, S.S.I., from the Acquisition and Filing Division, delivered a training session on archival fundamentals, dynamic records management, record retention, and disposal of expired archives. She and the USU Archives Office Team conducted a practical session for faculty staff on how to store dynamic and static records according to SOPs and properly dispose of expired records.

The mentorship concluded with an on-site assessment (sampling audit) conducted by the USU Archives Office Team at the Faculty of Social and Political Sciences’ Archive Room. The evaluation aimed to evaluate the current archival management practices, provide feedback, and ensure that the faculty’s archival staff could apply the knowledge gained through hands-on practice.
