Task and Objective

The Archive Office of Universitas Sumatera Utara is responsible for managing inactive records with a retention period of at least ten (10) years, static records originating from Archival Unit II (Record Center) and Processing Units (Central File), as well as developing archival services and ensuring the availability of authentic and reliable records as valid legal evidence.

  1. To document records with evidential value, historical significance, and records that serve as fundamental requirements for the continuity of the records creator's operations—records which are irreplaceable and cannot be renewed in the event of damage or loss;
  2. To develop an Archive Information System that can be integrated across all record-creating units;
  3. To foster adaptive, creative, and proactive self-reliance in response to user demands and development challenges at both national and international levels;
  4. To continuously improve the quality of archive management to achieve excellence in national and international competition and collaboration;
  5. To provide guidance and supervision in records and archives management, including administration and archiving activities within Universitas Sumatera Utara;
  6. To store, manage, preserve, present, and provide access to and services for static archive information;
  7. To safeguard and preserve static archives;
  8. To carry out the acquisition of static archives;
  9. To implement the appraisal and destruction of records whose retention period has expired;
  10. To publish video and photo archives through websites, YouTube, Instagram, the National Archive Information System (SIKN), and the National Archive Information Network (JIKN) website, integrated with the National Archives of the Republic of Indonesia (ANRI);
  11. To carry out media conversion and digitization of video, photo, and textual archives.
  1. To prepare records as a form of accountability for Universitas Sumatera Utara in supporting the University’s Tri Dharma (Three Pillars of Higher Education);
  2. To serve as authentic evidence for maintaining the integrity and development of USU;
  3. To support USU’s vision and mission in the field of archiving;
  4. To serve as a reliable reference for the effective and efficient provision of documents to stakeholders;
  5. To act as a reference for the Digitalization and Archive Publication Services on the National Archival Information System (SIKN) integrated with the National Archives of the Republic of Indonesia (ANRI);
  6. To receive, manage, and develop collections of static archives;
  7. To manage inactive archives in coordination with archival units and/or working units at faculties, programs, and the Central Administrative Bureau;
  8. To regulate and disseminate applicable archive norms, standards, regulations, and criteria;
  9. Memberikan Layanan Peminjaman Arsip;
  10. To provide archive lending services;
  11. To offer archive consultation services, comparative studies, and academic research;
  12. To provide archive gallery services.
